Blue Hen Conference Double Duel Meets

• Bill DuBois:  With the introduction of new meets (Blue Hen/First State), his team ran just as many meets
  • No recovery time/training time
  • Do we need all those double duels if we now have a Blue Hen Conference meet
• Steve Lantz:  in the past, we would have Mon/Wed duel meet AND have a Saturday meet
  • We did not have a week where we had THREE meets in a week
  • There were plenty of weeks where we had down time (Penn Relays week…not all kids run)
• John Lanutti:  In PA, they are adding points from Duel Meets and adding them into Blue Hen Championship Meet score
  • Steve:  would like to see Conference meet used as tie breaker in the event that two teams have same duel meet record
• Michelle Flanagan:  if you have an organized finish line & a good starter and the meets move along just as quickly as duel meets
• Dave Jones:  had no problems with double duels

 

Big Meet Reports

• Twilight Relays at Caravel Academy:  4/18 
  • We ordered two years worth of medals
  • Programs:  we sold 27 programs
  • Gate:  fairly good
  • Down in numbers compared to previous years
    • We could invite more out of state teams
    • We could go to single division?
    • Do we keep date with conflict with Glasgow
      • Many coaches liked Friday night
      • Did we have rain date?
• Blue Hen Conference Championships:  Steve Lantz
  • Thought it was a very competitive event
  • Took awhile to clarify who was going to do what
  • Problems with medals (mistakes)…Steve is delivering medals to kids who did not pick them up
  • Scoring snafu at the end….computer problem
  • Shot put:  threw from wooden circle from sidewalk into the grass
    • Will look into resolving this issue next year…it worked but it was not ideal
  • Facility was AMAZING!
    • Great bathrooms J
• Fee for using facility ($800)
  • We did not find out about fee until day before
  • Blue Hen AD’s took problem out of Steve’s hands
• Catholic Conference Meet:  Canceled
  • In the hands of the Catholic School AD’s
  • First time it has ever been canceled in the history of the meet
• First State Invitational:  Rick Schuder
  • Meet ran faster than we anticipated
    • Had some problems with the way we set up the schedule (kids taking SAT)
    • Meet was finished in 5.5 hours
    • We can push the start time back….noon start to give a break to the SAT kids?
  • 15 teams in attendance
  • Clocks went to the best performance of the day
    • In the 100 meters, kid won from outside the championship heat
    • Rod Lambert has a problem with kids winning the 100m clock from a heat outside the championship (different wind, etc.)
• Next year we will look into making sure everyone puts in an estimated time….avoid someone with NT blowing away a slower heat
• Mike Losapio:  can we consider putting 3200 at the end of the meet if we start later in the day so that weather would be cooler
• Rod Lambert:  likes the 3200 first so kids with conflicts can get to meet later
• Positive feedback from coaches
  • Liked medals in every heat
  • Good opportunity to qualify

 

• County Meet:  Tom McCartan  (Glad it’s over J)
  • Baynard needs to spruce up facility
  • Some coaches believe that we need to move to 8 lane facility
  • We moved to Caravel when insurance became an issue
    • Gate not as good at Caravel
  • Even if the State resurfaces the track, there are problems with other aspects of Baynard
    • discus area flooded
    • pole vault and high jump standards falling apart
  • Motion to move move meet:  Danny Episcopo
    • Bill DuBois seconded motion
      • Other Possibilites
        • Caravel or Appoquinmink
• Motion passed 18-1
• Mike LoSapio:  some kids in championship heats started in second line…were given choice by starter
  • Would like to see a California start so this will not happen next year
• Many teams checked kids in and then did NOT come back for event….it was not possible to combine heats because of this

 

• State Meet:  Lou Olivere
  • Performance lists online
    • There have been some additions to list
  • Officials
    • We have no starter on Friday
    • We have no discus official for Saturday
  • Student assignments will be online tonight
  • 40 teams entered…may change
  • Getting kids in gate
    • Same process as last year….names on list and they will be checked off
  • Tent rule:  tents in stands ONLY on top and they must be tied down
    • Can use grassy areas for tents as well
    • Can leave tents up on Friday night
  • Parking on Friday will be a problem until 3:15pm
  • Trainer will be on site
    • Will have supplies (except for ice)….bring own tape etc.
  • Pray for good weather….will be a PROBLEM getting trials in on Saturday morning and finishing on time….lacrosse game scheduled for Saturday night
  • Jumping pits
    • Triple inside OVAL
    • Long outside OVAL on backstretch
• Shot/Discus:  outside stadium WAY BACK

  • Last meet this weekend

State Meet:  Lou Olivere

• Tickets on sale at Monday’s AD meeting (12 per boys’ squad/12 per girls’ squad)
• Memo from Lou went out today covering State Meet entry procedures/schedule etc. 
• Schedule had to change b/c of problems with UD.  Starting meet at 9:30.  Finals were pushed back 30 minutes (12:10 PM 4x800):  to avoid traffic problems with UD basketball
  • Gives us chance to get field events out of the way before running events begin
  • Registration and entries online must have documentation (if it’s NOT on honor roll or online, submit documentation to committee)
  • Only Non-Meet events accepted are 50 yards, mile, two mile, 3000 meters.  Committee will convert times
  • Relay runners:  by rule, you are allowed any roster athletes; however, they MUST be entered in the meet.  Use all available alternate spots and also enter kids in events knowing they will be rejected (they will then be in your roster).
  • FIELD EVENTS:  Athletes WILL BE TIMED once a name is called.  Make sure they know how much time they have to complete jump/vault
  • Uniform Rule WILL BE IN EFFECT!

FUTURE OF TOWER HILL SERIES:  Rick Schuder

• This is the first year we will NOT make $$ on Tower Hill meets
• Change in qualifying standards is making some teams go out of state to make standard
  • Next year adjustments will be made to accommodate slower Tower Hill teams
• Are SIX meets too many?
  • Maybe cutting down to two or three meets is the way to go
  • Only ONE downstate team came to TH this season
• Cost of medals?
  • Cut down on # of medals per meet (top 3 instead of 6)
• Raise entry fee?
• Can we approach University of Delaware
  • We could use media to put pressure on UD officials to give us more access to field house
  • Thursday night?
  • We tried one year to use UD for Field Events ONLY
    • They said NO

 

·        We will continue with Tower Hill Series

o       Many schools would drop programs if TH series were eliminated

o       Cut back from SIX meets to FIVE (and leave ONE February date as make-up date)

• Thank you letters sent out to sponsors….included a copy of All State program so they could see the ad
• Some schools still owe payment for county meet:  AI, App, DMA, Dickinson, Middletown, Mount, Newark (have p.o.) Red Lion, Wilm Christian
  • Will send invoice to AD as reminder

 

Winter Track

• Tower Hill Series:  Jimmy & Tracey
  • Medals are ordered….should be here by next meet
  • Palm pilots are working fine….worked on all the field events
    • Problem with using palms for HJ b/c progression is not standard
      • Would have to be altered with every jump
      • Kevin could take results and enter them in computer himself
  • Rod thinks that it’s imperative that we use palms at State Meet…Tower Hill meets will get officials comfortable using devices
    • All jumps will be recorded in results
  • Steve currently NOT using palm pilot for pole vault at A.I.
  • Can use 3000 times for State Meet Entry
    • 50 Yard also accepted
  • Hip numbers are being discarded all over the building
  • Job requests to Jim & Tracey
  • NO Food and Drink in Field house:  Lobby only
  • Athletes need to arrive at events on time
  • Coaches check rosters and make sure Athletes are on your Direct Athletics roster….make sure you put correct names on relay cards

    • Will accept times run at other tracks….need proof that time was run
  • Set-up/Clean-up list for REST of the season will be posted on website

• Mike is in contact with Scott Noonan, director for NJSIAA Officials Association
  • Suggestions:
    • Ask DIAA to allow a new committee to be formed that will comply with all state  rules and regulations
    • Put together 10-15 people that we can trust who are willing/want to officiate meets throughout the year
    • With this small group in place we can put together a charter and get ourselves up and running
    • Join the NFHS (roughly $25 a year dues per person)
    • Set up 2 regions to pull members from upstate/downstate
    • Meet entry fees will have to be looked at in accordance to paying the officials
      • Would have to contact schools (especially public) about putting higher entry fees into their budget
    • Mike will contact coaches from other sports to see how their committees are set up

  • Need to recruit new officials
  • Have someone train under Bob Neylan/Bill Thompson to become meet referee

Reports 

All State Selection:  Michelle Flanagan, chairperson

• Explanation of All State Selection Process: 

Each All State Team (1st, 2nd, 3rd) has 7 members.  Competitors with the Top 15 OVERALL combined times (plus ties) in Division I & Division II, at the state championships, are automatically placed on one of the All State teams.  The placement of competitors on these teams will be determined by the All State Cross Country Selection Committee.  The remaining (6) team members will also be chosen by the Selection Committee.

• Proposal to increase the automatic all state # to 18
  • Top 5 times at State Meet are automatically 1^st team
  • Next 6 times are automatically 2^nd team or better
  • Next 7 times are automatically 3^rd team or better
    • In the past six years (for boys and girls) the committee has NOT gone beyond 3 Wildcards outside the Top 21 times
       
• Issue was tabled until the Spring when more XC coaches can be present
   
• Another proposal to DECREASE automatic selections to 12….also tabled until spring

 

XC Top Ten

• Question about how committee chose Top 10
  • Majority vote looking at head to head competitions and comparing state meet performances

XC Banquet:  Brandywine Hall

• Banquet went very smoothly
• Decision to increase cost to $25 made things much easier
• School MVPs ran a little long
  • Suggestion to have script for Chuck…one quick sentence as kids walk up…save all applause until the end….have kids stand up front just like All County teams

 XC Courses

• Charter is switching their home course to Rockford Park

 Winter Track

• Tower Hill dates:
  • December 15
  •  January 5
  • January 12
  • January 19

  • States:  February 16

• Tracey & Jimmy want coaches to contact them with officiating requests
• Let Tracey & Jimmy KNOW in advance what meets you are attending
• Please remind athletes of rules
  • No metal spikes or shoes with plastic plates
  • No FOOD or DRINK in field house….athletes may eat in the lobby
• All teams will be assigned set-up/clean-up in ADVANCE
  • Check site for team date
• Out of state teams were interested in entering meets; however we ran into problem with sanctioning.  Only Delaware teams this year.

 

State Meet:  Lou Olivere

• looking for good officials
  • would like 4-5 officials per event
  • officials who KNOW rules and apply them correctly

• BHC approved tri-meets (scored as double duel)

  • Jim Fisher has also offered to help with clinics
  • Field Event Primers…could be attached to back of clipboard
    • Simple “how to” run certain events (T&F for dummies J)
    • Looking for volunteers to author primers
• As always…looking for new officials

• Things went really well

• Things went well
• Junior High meet was so crowded …parents/kids set up in tents when we were trying to set up the H.S. meet
• We need to clear out the Jr. high people….start 30 minutes earlier?
• County coach of the year ballots to Joe O’Neill
• Suggestion to announce JV results at awards ceremony
• Fundraising to offset cost of parking (btwn $2500 & $3000) 
  • We need to follow though with people who promised $$
  • Preferred parking ALMOST covered parking

 State Meet:  George Pepper

• seemed to go well…no major complaints
• Port-a-johns to help with bathroom line
• One school only entered ONE team
• Poly Tech did NOT know what division they were in
• States are tentatively planned for White Clay for 2008
  • Will need help with upstate coaches with set-up and contacting park officials
• Question of how course is measured each year
  • Zach Chupa thinks course is LONG using GPA watch
• State Coach of the Year to Rod Lambert

 

XC Banquet:  Brandywine Hall

• Do NOT let parents make reservations
• Rick is compiling MVP’s write-ups against year:  Deadline 11/25

• DIAA did NOT change Rule 4.3.2.1 which states that A team shall not participate in two difference cross country, indoor track or outdoor track meets on the same day
• A waiver to rule would allow teams to apply to DIAA b/c of lack of viable venue (WAS NOT APPROVED BY DIAA)

  • May be equipment issue at new Appoquinimick

• When taking a significant vote, is there a way to allow absent coaches to vote
  • With a quorum, vote will go through…issue could be tabled and proxy could be accepted

 Meet Reports

 DMA Invitational:  Howard Laws

• Meet went very well
• County very accommodating….wants us to create 5K courses at Iron Hill and Middle Run Nature Center
• Conference meet is good to go at Banning

 Sallies Invitational:  Mike LoSapio

• All races went off on time
• Problem with next year’s date
  • Paul Short Invitational is moving to the Friday before Sallies
    • Moving Sallies back a week runs into Bulldog Invite and possibly Jewish Holiday
    • Forward a week runs into Manhattan and UD
    • Keeping it same day was favored by most coaches
      • Because of SATs, frosh race would go off first at 1:30

 UD Invitational:  Jim Fisher meet director

• Registration glitch b/c many teams missed entry deadline
• Disparity btwn teams he was expecting but registration/contract not received
• Email Jim Fisher immediately if planning on going

 Bellevue Invitational:  Steve Lantz

• Not on DIAA sanctioned list
• Steve will call tomorrow about Bellevue & County
  • Insurance covered through USATF
• Please be prompt submitting pmt…still waiting for bills from last year

 BHC Championship

• Looking into using John Amery & Direct Athletics
  • Using his back-up  crew
  • Have cards in chute  as back-up
• 10 AM  BOYS  Varsity
• 10:30 Girls Varsity
• 11:00  Boys JV
• 11:30  Girls JV

 County Championships

• Rick & Kevin met with Winterthur officials
• Budgeting about same as last year
• Preferred parking again this year/$10 per car
• Buses will be able to unload in preferred parking area
• Junior High meet will be in morning
• Tuesday & Wednesday practice day
  • Practice schedule will be posted on Website
• Winterthur is cutting opening in fence so we can move start/finish back to where it was first year
• Zach Chupa is taking over Coaches/Old Timers race
  • Still free
  • Looking for sponsors for shirts
  • Looking at changing format slightly…changing name from Old Timers
    • 12:30  pm Coaches race
    • 1:45 Girls JV
    • 2:25  Boys JV
    • 3:00 Girls Varsity
    • 3:30  Boys Varsity
• Winterthur would like to continue survey
• Preferred parking brings in $$ for N5CTA which offsets paying Colonial Parking
• Tents are available again for $100…have to order by week before

 State Meet

• Direct Athletics…register online
• DIAA will get names from Direct Athletics for shirts
• Entries due Sunday before State Meet

XC Banquet:  Brandywine Fire Hall

• Thursday December 6, 2007

 

All County Team

• Currently Top 20
• Howard Laws proposed that we increase All County team to 25 runners
  • Vote taken…passed 12-8
  • Vote also taken to increase medals in JV…passed

 

Winter Track

• Dates on website
• Tracey & Jimmy want coaches to contact them with officiating requests
• Will have clinic to teach coaches how to use palm pilots

 

Spring Track

• DIAA did NOT change Rule 4.3.2.1 which states that A team shall not participate in two difference cross country, indoor track or outdoor track meets on the same day
• A waiver to rule would allow teams to apply to DIAA citing lack of viable venue for athletes…proposal for waiver will be submitted to DIAA…more details coming at a later date.

Cross Country Issues

• Brandywine Creek
  • Deconstruction of parking lot will cause many problems
  • Teams must let staff know in advance when they will be using park for meets and practices
  • Work scheduled to begin right after Sallies Invite
• State Park Issues
  • Tom McCartan  set up meetings with park officials and legislators
  • White Clay was looked into as possibility for this year’s state Meet
    • After meeting again, it was decided to keep meet at Killens this year and have White Clay be site of 2008 meet
    • We need to keep putting pressure on parks to follow through
• Banning Park Course:  Howard Laws
  • New course at Banning Park
  • Site of DMA XC Invitational 9/20/07
  • Site of BHC championships
• Delaware Open Cross Country Scholarship
  • Jimmy Walsh distributed info to coaches
  • Check with AD’s to see if they received applications
  • Need based scholarship
  • All N5CTA schools urged to nominate runners

 

Spring Track:  Kevin Kelly/Steve Lantz

• Blue Hen Conference
  • BHC coaches are urged to talk to AD’s and tell them to support tri-meet proposal and add BHC Championship Meet to schedule

·        Diamond State Invitational:  meet director Kevin Conley

o       Medals in every heat just like Diamond State

o       8 lane track…with performance list, every heat will be filled

                            First year will be in-state

o       Cost will be per event like DSR….may have to limit entries

• Starting the year in good shape…still waiting for some $$ to come in

New Business

• Howard Laws proposed to make All County Top 25 vs. Top 20
  • Meet has increased in size since 1984
  • According to Lou Olivere,  meet has not grown significantly in last ten years
  • Discussion tabled until next meeting.  Lou will bring entry #’s from last ten years

Old Business

• Rod Lambert was contacted by track & field reporter to verify the wind on a spring track performance.  Since it was not the best performance, wind reading was not recorded
  • Rod would like to see ALL information for field events printed with results.
  • Use of palm pilots will make this easier

County Meet:  Tom McCartan

• Some teams still owe money
• Happy with site …Staff at Baynard VERY helpful
• May have problem again with girls’ discus (depending on baseball)
• Baynard is fixing shot circle

State Meet Report:  Lou Olivere

• Basic concern was facilities
  • Condition of track
  • Shot/discus area
• We can look into site change on a yearly basis with DIAA

Meet of Champions Report:  Rick Schuder

• Too many shirts were ordered
• Suggestions made to deal with light turnout in certain events
  • Athletes have to declare what events they are entering in ADVANCE via email or Direct Athletics
  • Approach DIAA about increasing # of automatic qualifiers for MOC in the distance events

All State Selection

• Committee forming to discuss whether we should explore allowing a limited # of Automatic All State Berths if certain criteria are met during the season
  • State record holders, outstanding times, etc.

Spring Banquet:  Jimmy (speaking on behalf of Melanie)

• Staff at Hockessin Fire Hall were great to work with
• Some concerns about high price
  • We will be moving banquet to Claymont Fire Hall as soon as they are up and running….will be catered by Howard
  • XC and Indoor banquet will be at Brandywine Fire Hall

Cross Country Issues

  • DIAA:  Kevin Charles says that he is NOT pushing for ONE site or for Killens…he will go with recommendation of XC committee

  • Course could hold a major meet
  • COURSE WALK THROUGH Monday July 23, 2007 at                       10 AM…meet by the playground

Spring Track/DIAA Committee:  Kevin Kelly

• Evelyn Edney, principal at Howard has been added to committee
• Kevin would like to see more opportunities to educate coaches
  • Would like suggestions for clinics etc.

• Proposal to split teams has been tabled by DIAA until next year
